Does your business actually need an AI chatbot?

A lot of people come to us asking for "an AI chatbot". When we talk it through, quite a few of them don't need one. A better contact form or a few WhatsApp quick replies would do the job.
So before you spend money on one, here is how I would think about it.
Where it genuinely helps
An AI assistant earns its keep when the same questions come in again and again, and the answers already exist somewhere in your documents.
A coaching centre is a good example. Parents ask about fees, batch timings, refunds and whether there is a weekend batch. The answers are all in the brochure and the fee sheet, but someone still has to type them out fifty times a week, often late at night. An assistant that reads those documents and answers properly takes most of that load off your staff.
The same goes for clinics (timings, doctors, what to bring), manufacturers (product specs, dealer questions) and shops (stock, delivery areas, return policy).
Where it doesn't
It is a bad fit when:
- You get only a handful of enquiries a day. Just answer them.
- Every question needs judgement, a site visit or a custom quote.
- Your information changes daily and nobody will keep the documents up to date.
- Your customers would rather call. Many do, and that is fine.
The thing that matters most: does it make things up?
Cheap chatbots are often a general AI model with your business name stuck on top. Ask one about your refund policy and it will happily invent something that sounds right. For a business, that is worse than no chatbot.
What you want is an assistant that answers only from your own documents, shows where each answer came from, and says "I don't know, let me get someone" when the answer isn't there. You can see one working on our Ask the Front Desk demo. Ask it something outside its documents and watch it decline.
Questions to ask before you buy one
- What does it do when it doesn't know the answer?
- Can I see which document each answer came from?
- Who updates it when my prices or timings change, and how?
- What happens to the conversation when a customer wants a person?
- Is there a monthly cap on what it can cost?
If the person selling it can't answer these clearly, keep looking.
